Job Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to provide high-level administrative and operational support to senior leadership. The ideal candidate is resourceful, professional, and capable of managing multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism. The Executive Assistant will play a critical role in streamlining daily operations, managing schedules, coordinating communications, and ensuring organizational efficiency.

Key Responsibilities

  • Manage executive calendars, appointments, and meeting schedules efficiently.

  • Coordinate internal and external meetings, ensuring proper preparation and follow-through.

  • Handle day-to-day administrative tasks, documentation, and record management.

  • Prepare reports, presentations, meeting minutes, and correspondence.

  • Serve as a point of contact between executives, clients, stakeholders, and internal teams.

  • Manage emails, inquiries, and follow-ups professionally and promptly.

  • Assist in tracking deadlines, deliverables, and ongoing projects.

  • Coordinate with departments or clients to ensure timely completion of tasks.

  • Arrange travel itineraries, accommodations, and transportation when required.

  • Coordinate event logistics and executive-related arrangements.

  • Handle sensitive and confidential information with discretion.

  • Maintain professionalism in all communications and business interactions.

  • Proficiency in productivity and communication tools (e.g., Google Workspace, Microsoft Office, Zoom, Slack, CRM systems).

  • Proven experience as an Executive Assistant, Virtual Assistant, Administrative Assistant, or similar role.

  • Experience supporting senior management, founders, or executives is preferred.

  • Strong background in calendar management, scheduling, and stakeholder coordination.

  • Experience in operations, project coordination, or customer/client communication is an advantage.

  • Ability to work in a fast-paced and dynamic environment.
